Build the books around the legal owner

Open the accounting file under the exact legal owner and DBA that appear on the Alaska entity, professional contractor registration, bond, insurance, and Business License. Use a separate business bank account and payment processor for company transactions. Do not mix an individual’s deposits with an LLC’s invoices or pay subcontractors from a personal account.

Create a chart of accounts that separates revenue by service line and direct job cost by labor, material, subcontractor, equipment, permit, disposal, travel, and warranty categories. This does more than prepare a tax return. It shows whether estimates recover field costs and whether one trade or job type is quietly losing money.

Handle the no-state-sales-tax answer correctly

The official Alaska sales-tax page states that Alaska does not levy a statewide sales tax. There is no single state sales-tax account or statewide return for ordinary contracting receipts. Do not cite a page for a specialized state tax, such as mining, as general contractor sales-tax guidance.

The second half of the rule matters more operationally. Alaska municipalities may levy sales and use taxes, decide much of what is taxable, and issue their own forms. Determine where each job is located and which city or borough claims the transaction. Ask that jurisdiction about registration, construction labor, materials, exemptions, resale, deposit timing, filing frequency, and zero-return duties.

Review state and federal tax programs by entity and activity

No statewide sales tax does not mean no Alaska Department of Revenue filing can apply. Entity type and business activity determine whether another state tax program is relevant. Review the Tax Division’s current program list with a qualified tax professional and record the conclusion in the company tax file rather than relying on a slogan about Alaska taxes.

The owner also needs a federal tax plan. The legal form and any federal tax election affect income reporting, owner pay, payroll, estimated payments, and year-end forms. Keep those decisions separate from the Alaska entity filing. Alaska’s Business Structure FAQs warn that the state structure and federal S-corporation election are not the same thing.

Set up employer reporting before the first payroll

If the company hires employees, register for Alaska unemployment insurance contributions through Employment Security Tax. Use the agency’s online employer services and keep the employer account number, rate notices, filed contribution reports, payments, and correspondence in the payroll folder. The unemployment account is separate from workers compensation and federal payroll accounts.

Classify workers from the actual relationship, not from a preference for issuing a 1099. A contractor’s professional registration, supervision, scheduling, tools, risk, and control can all matter to worker treatment. Get payroll and classification advice before the first check, then reconcile payroll reports to the general ledger every period.

Close every job with a complete record

For each project, retain the signed contract, approved changes, estimate, invoices, customer payments, supplier bills, subcontractor records, permits, inspections, photos, warranties, refunds, and collections notes. Tag the job location so local tax reporting can be reproduced later. Record customer deposits as liabilities until the accounting method and earned status are clear.

Reconcile the bank and credit cards monthly. Compare estimate to actual cost by job. Review unbilled changes, open permits, outstanding receivables, warranty reserves, and local tax liabilities. A clean monthly close makes license renewals, insurance audits, tax preparation, financing, and disputes much easier than rebuilding the file at year end.
