Short answer: A good booking script greets the caller with the company and your name, lets them explain the problem, gets the address and contact details, offers two appointment times, states the service fee, and confirms. The goal is to book the visit, not to diagnose or quote over the phone.

Most calls are lost in the first minute, not because of price. A simple script gives whoever answers the same path every time.

The script

  1. Greet: "Thanks for calling [Company], this is [Name]. How can I help?"
  2. Listen: let them explain. Repeat it back.
  3. Reassure: "That is something we handle all the time."
  4. Details: name, address, best number, how they found you.
  5. Offer two times: "I can have someone there tomorrow morning or Thursday afternoon. Which works better?"
  6. The fee: state the service fee and what it covers. See setting your service fee.
  7. Confirm: repeat the time and address, and say how you will confirm.

What not to do

  • Quote a repair price without seeing it.
  • Ask "when would you like us to come?" instead of offering times.
  • Leave the fee until the tech arrives.

Measure it

Booking rate is booked calls divided by real service calls. See CSR booking rate and training a CSR to book calls.

The Contractor Vault has full CSR and call scripts, including price shoppers and after-hours calls. In Operator, a low booking rate sends whoever answers the phone into the booking training.

Common questions

What should a contractor say when answering the phone?

The company name and your name, then let the caller explain, get their details, offer two times, state the service fee, and confirm.

Should a CSR quote prices over the phone?

Not for repairs. State the service fee and book the visit; the tech prices the work on site.

What is a good booking script for HVAC or plumbing?

Greet, listen and repeat the problem, reassure, take details, offer two times, state the fee, and confirm.
